Start with the workflow, not the feature list
The most useful systems we build start from a walkthrough of how work actually happens today — who submits what, who approves it, and where information gets lost. Feature lists written before that walkthrough almost always describe the wrong product. Mapping the real workflow first is what keeps a build from turning into software nobody uses.
Automate the handoffs before the tasks
Most manual effort in an organization sits between steps rather than inside them: re-typing form data, chasing proof of payment, forwarding documents for approval. Connecting those handoffs — registration to payment to verification to administration — removes more work than automating any single task in isolation.
Design for the second year, not launch week
A system is cheap to change while it is small and expensive later. We favour clear data models, typed application code and boring, well-supported technology so that new registration categories, reports or payment flows can be added without rewriting the foundation.
Digital records only help if people trust them
Moving from paper to a platform changes habits, not just tools. Clear status labels, verifiable payment records, permissioned administrative access and readable reports are what make a team confident enough to abandon the parallel spreadsheet — and that confidence is the real measure of a successful rollout.
